How It Works: One Supplier Certificate, Start to Filed
This page follows a single document — a supplier's certificate of analysis for an incoming material — from the moment it arrives to the moment it sits in the record as retrievable evidence. The same five stages apply to inspection reports, work instructions, shipping documents, and invoices.
Received: the certificate arrives with the material
The shipment reaches the dock, and its paperwork — packing list, bill of lading, and the certificate of analysis — arrives with it or by email from the supplier. In a manual process, the certificate would be printed, clipped to a traveller, and filed by hand, findable later only by whoever filed it.
In the loop, arrival is intake. The certificate is captured the moment it lands, given an identity, and queued alongside every other arrival. From this point on, where it is and what state it is in are always known.
Classified & extracted: the certificate is read
MaxxOwl™ SI reads the document. Classification comes first: this is a certificate of analysis, not an invoice or a packing list — decided from the document's layout and content, not its file name. Extraction follows: supplier, material, lot number, the measured test values, the specification they were measured against, and the certificate's expiration date are lifted out as structured data, each value carrying a confidence level.
Matched: checked against the order and the shipment
A certificate is only useful if it certifies what actually arrived. N-Way Match™ compares it against the purchase order and the goods receipt: same supplier, same material, same lot, quantities that agree, test values inside the specification on the order.
If anything disagrees — a lot number that does not match the shipment, a value outside specification — the certificate becomes an exception and is routed to a quality reviewer in Outcome Workspace™, with the document, its extracted data, and the specific mismatch side by side. The material's paperwork is resolved before the material is released, not discovered afterwards.
Filed: the record becomes evidence
A certificate that matches files straight through; one that was excepted files with its resolution attached. Either way, the finished record is written to the Outcome Repository™ — the document, its extracted data, what it was matched against, and who reviewed it, if anyone had to.
The record is retrievable by the keys people actually ask with: supplier, material, lot. When a customer questions a finished batch, or an auditor samples a shipment from months ago, the evidence is a search — the same record that was filed the day the material arrived.
Surfaced again: before the expiration, not after
The loop is not finished with the certificate once it is filed. Its expiration date was extracted at Stage 2, so the date is tracked as data. As it approaches, the certificate surfaces for review — while there is still time to request a current certificate from the supplier and keep the material's evidence continuous.
That is the difference between a repository and a filing cabinet: the record does not just sit where it was put. What got done with it — and what still needs doing — stays visible, which is what Outcome Analytics™ reports on across every document type in the loop.
The other front door: forms and portals
Certificates do not have to arrive as email attachments. A supplier submitting through a form or portal — MaxxLaunch™ on the MaxxLogix platform — sends the certificate in as structured data from the start, and it joins the same loop at the matching stage. Documents and data, one loop.
Same loop, every manufacturing document
An inspection report, a revised work instruction, a packing list, an AP invoice — each can be walked through the same five stages. The matches and reviews change from document to document; the loop doesn't. That consistency is what makes the evidence comparable — and what makes a platform different from a pile of point tools.
